This Privacy & Cookie Policy explains how Side Events Guide™ processes personal data and uses cookies and similar technologies. For rules governing use of the website, see our separate Legal Notice & Terms of Use.

1. Who controls your data

The controller responsible for the personal data described in this policy and our privacy contact information is detailed in the contact section at the end of this document.

Our processing is subject to the EU General Data Protection Regulation (GDPR) and applicable local data-protection law where those rules apply.

2. Personal data we may process

Depending on how you interact with Side Events Guide, we may process:

Website and technical data: IP address, browser and device information, requested pages, timestamps, security events and similar technical information required to deliver, secure and troubleshoot the website.

Analytics and usage data: information about how visitors use the site, traffic, and performance, collected through analytics technologies where legally permitted and subject to any required consent.

Contact and inquiry data: your name, email address, organization, job role and the content of messages you send us.

Event-submission and organizer data: the details you provide when submitting, correcting or managing event information, including organizer contact information where necessary to verify and maintain a listing.

Newsletter data: if you choose to subscribe, your email address, subscription status and related consent or preference records. You can unsubscribe at any time.

Advertising, sponsorship and customer data: business contact details, correspondence, proposals, booked services, campaign information, invoices, payment status and information necessary to deliver and report on a commercial relationship.

Business contact and prospect data: limited professional information such as name, role, business contact details, organization, relevant public business activity, and communication history.

3. Where personal data comes from

We collect data directly from you when you contact us, subscribe, submit an event, request information, discuss advertising, sponsorship or another business service with us, or otherwise interact with us.

For business contacts and prospects, we may also obtain limited professional information from publicly available professional and business sources, including organization websites, conference or program pages, publications, directories, search results, and professional profiles.

4. Why we use personal data and our legal bases

We process personal data only where we have a lawful basis. Depending on the circumstances, this may include:

Contract or steps before a contract: to respond to a business service request, prepare a proposal, manage an offsite advertising or sponsorship agreement, deliver the agreed service, administer a customer relationship or handle the resulting transaction. Paid contracts are not concluded through the website.

Legitimate interests: to operate and secure the website, respond to business inquiries, maintain event listings, manage business relationships, measure and improve the service, prevent abuse, establish or defend legal claims, and conduct relevant B2B prospecting and direct marketing where permitted by applicable law.

Consent: where you voluntarily subscribe to marketing or a newsletter, or where consent is required for non-essential cookies, analytics, embedded services or similar technologies. You may withdraw consent at any time without affecting processing that was lawful before withdrawal.

Legal obligation: where processing is necessary for accounting, tax, regulatory, legal or other statutory requirements.

5. Business contacts and direct marketing

Where we obtain professional contact information from public or professional sources, we may use it to identify and contact relevant business representatives about advertising, sponsorship, partnerships, or similar B2B opportunities. You may ask us for further information about the source of your data.

You may object at any time to the use of your personal data for direct marketing. To stop marketing contact, reply to our email, use any unsubscribe method provided, or contact the privacy address below. We will stop using your data for that purpose and may retain only the minimum information needed to prevent accidental future marketing contact.

6. How long we keep personal data

We keep personal data only for as long as necessary for the purposes described in this policy, taking account of applicable legal, accounting, security, and operational requirements. Records may be kept longer where required by law or reasonably necessary for legal claims.

Newsletter information is generally kept until you unsubscribe or the address is otherwise removed, subject to limited records needed to document consent or opt-out.

Customer and advertiser records may be retained for the relationship and applicable statutory or legal periods.

Business contact data is reviewed periodically and removed when no longer needed. Minimal suppression information may be retained as necessary to honor an objection to marketing.

7. Who we share personal data with

We may share personal data with service providers that support analytics, communications, mapping or embedded features, business administration, invoicing or accounting, and with professional advisers where necessary.

We may also disclose information where required by law, to protect legal rights or security, or in connection with a legitimate restructuring or transfer of the business subject to appropriate safeguards.

Some service providers may process personal data outside Portugal or the European Economic Area. Side Events Guide does not currently use first-party cookies for its core service. Third-party analytics, mapping, or embedded services may use cookies or similar device storage. Where consent is legally required, those technologies are not enabled until consent is given.

11. Cookie choices

Where third-party technologies require consent, the site provides controls to accept or reject the relevant non-essential technology and to change that choice later. Refusing consent does not prevent access to the core service, although an optional third-party feature may be unavailable.
